Setting a company template and locking fields
Company accountsUnder Brand compliance, tick Enforce company template, choose the Default layout and the Locked fields, then press Save; every seat's signature follows it.
In your dashboard: Your Card > Signatures > the Email Signature Manager > the Brand compliance tab
Last updated
Open Signatures, then Email Signature Manager.
Under Brand compliance, tick Enforce company template.
Choose the Default layout everybody uses: horizontal, modern, card badge, minimal or compact.
Under Locked fields, tick the parts nobody may change: Brand colour, Company logo, Company name, Disclaimer and Campaign banner.
To give everybody the same notice, write it in Company notice, up to 1,200 characters.
Press Save.
While the template is enforced, everybody's signature uses your layout. On their own screen the layout shows Set by your company, and so do the banner and the notice when you lock them; a locked colour, logo or company name is simply used in their signature. Under Team signatures, every seat reads Locked.
What each lock does
- Brand colour and Company logo come from your company's own card, so your look is set in one place. See Setting the company look.
- Company name is your company account's name.
- Campaign banner: the campaign running that day is shown under everybody's signature, whether or not they switched their banner on. When no campaign is running, people keep the banner they had and cannot change it. See Running a banner in everyone's signature.
- Disclaimer: with a Company notice written, everybody's signature shows it. With the box empty, each person keeps the notice they had, and can no longer change it or switch it on or off.
Brand colour, Company logo and Company name take effect only when your company has one to put there: locking the logo while your company's card has no logo leaves everybody's own logo in place. The Disclaimer and Campaign banner locks take effect at once, as described above.
Nothing is locked until Enforce company template is ticked. Untick it and press Save, and everybody gets their own choices back, as they left them.
Each person's email program holds a copy of their signature. After you change the template, ask your team to copy their signature again; Send instructions does that for you. See Sending signature instructions to your team.
