Team and seats

One company address, a card for each person, and the URL that stays when somebody leaves.

What is a seat?#

One person's card inside a company account. The company lives at acme.visitingcards.store and each seat at acme.visitingcards.store/their-name. The seat owns the address, the QR codes, the leads and the numbers; the person holding it is a separate thing, which is the point.

Why not just give everybody their own account?#

Because of what happens when somebody leaves. With separate accounts their card, their printed codes and their leads walk out with them. With a seat you hand it to the next person: the address keeps working, the codes already printed keep working, and the leads stay with the company.

How do I start a team?#

Team in the sidebar. The screen shows what a seat costs a month, what a team gets and a picker: choose how many seats (five at least, in blocks of five) and press Buy seats and start your team. You pay on a secure payment page, or, when your Pro plan is paid on the same schedule as seats, the seats join that plan and your card on file is charged for the rest of the period. Your account becomes the team account, with the same sign-in, as soon as the seats are paid for - not before. New to us? Do I need a paid plan for a team?#

You need to pay for the seats, and nothing else: the seats include Pro. A team is never free - it starts when its seats are paid for, and until then the Team screen shows what a team costs and the one button that buys it. If you are on the free plan, your account holds Pro for as long as the seats are paid for.

What changes about my own address when I start a team?#

One thing, and it cannot be undone, so the screen says it before you pay: once the seats are paid for, your bare address stops showing your own card and becomes your company page instead - your company's name, your logo, a short about and your contact buttons, drawn from the card you have. That card also becomes the look every seat wears. Everything else carries on as before, and nothing you have made is deleted.

What is on the company page?#

Your company page is your bare company address: your logo, your company's name, a short about, the contact buttons your company card carries, and Save contact, which saves your company as a contact. People can save it to their phone like any card and get your notifications. Each card has one sender: your company's Notify sends for the company page and for every card on the locked card (choose the card under Send for), and a person whose seat is on the full dashboard sends for their own card from their own Notify. Your people are listed on it only if you switch on Show our people on the company page on Team - and then only published cards, never a closed seat or a card that is off while a seat payment is owed. A person who keeps their own card out of search is still listed, but their own card stays out of search: search engines are asked not to follow the link to it. Your company's own store, events and bookings are on the page only if you switch on Sell on our company page on Team - each one while it is open - and your team members' cards do not change.

How do I invite somebody?#

Open Team, add a seat, and invite by email. They get a link that sets their password and lands them on their own seat. Somebody whose email already has a login signs in on the invitation page and takes the seat with that login - no new password. The link works once and lasts seven days; after that, send another. Revoke and Send again are on the same screen.

Who decides the address of a seat?#

You do. It is suggested from the person's name using the same rules as an account address, and you can change it before you send the invitation. A seat's card is live from the moment it is made, so a code printed on day one never lands on a page that does not exist. Later, the owner or an admin can give the seat a new address from the seat's page with Give this seat a new address: the old address keeps working and sends everyone to the new one, and whoever holds the seat is emailed the new address.

What can the person holding a seat do?#

On a Locked card, edit the words on their own card: their name, title, contact details and the rest, on one screen of their own. If you switch their seat to the full dashboard, they also design their own card and use the card screens - People, Notify, Links & QR, Analytics, Print Design, Signatures and Backgrounds - on their card only. Either way they never see the company's other seats, the other seats' contacts, your team or your billing. A wallet pass, WhatsApp and a store are bought for each person on their own: on their seat page you turn on their own wallet pass, their own WhatsApp or their own store (Store for and their name, its price a month added to your team's plan), charged now for the rest of the period and opened for them once paid; turned off, the days not used come off your next bill. A person with their own store runs it on their own card, at their card's address followed by /store. When their store is off, their orders stay: they still mark them paid, cancel them or download them, and on your own Store, under Orders, you open any person's store orders. Handing the seat on or closing it switches their store off and clears their payment links, and the next person never sees their buyers. Events and bookings are your company's own: they run on your account, and Sell on our company page shows them on your company page.

Can I stop people changing the look?#

Yes - the design is the company's. Every seat on Locked card wears the look you choose, so twenty cards look like one company rather than twenty. The design is yours unless you switch somebody to the full dashboard, where they design their own card; only you decide who.

What happens when somebody leaves?#

Reassign the seat. The card, its link codes, its leads, its saves and its numbers stay where they are, and so does its address - unless you give the seat a new address in the same step, such as the new person's name, and then the old address keeps working and sends everyone to the new one. The old person's sign-in is removed and the new person is invited. Any wallet pass the old holder had is retired afterwards, and their WhatsApp number is signed out, with anything still waiting to go from it cancelled, so nothing they wrote goes out from the next person's number.

What if nobody is taking the seat over?#

Close it. The seat's page and its address stop at once, the holder is cleared, and every lead on it is kept. Closing is final: a closed seat cannot be opened again, but it no longer counts as in use, so you can add a new person within the seats you pay for. Its address is free again at once; if another seat is given it later, printed cards and QR codes with it open that seat's card.

Where do the company's leads go?#

Into the company's own list, and there is a CSV export on the Team screen that covers every seat. Every export is recorded in our audit trail with its row count, the same as a personal export.

What does a seat cost?#

The Team screen shows what a seat costs a month in your own money, with the US-dollar price in brackets beside it, and each choice on its picker says what that many seats come to a month. Billing has a Corporate block with the same price. Every figure comes from our catalogue rather than being typed into the page, and the payment page shows the exact amount before you pay. Why do seats come in blocks of five?#

Because the price is a per-seat price with a minimum of five, and blocks keep the arithmetic honest on both sides. You can never go below the number of seats actually in use, so nobody's card can be switched off by a change on a billing screen.

Can one phone keep two of our cards?#

Yes. Two seats saved on one phone are two saved cards on one device, and the phone keeps one notification permission for the whole company address, which is what a phone is built to do.
